🤝 Greenhouse | Pipeline Insights

Pipeline Insights combines data from your instance of Greenhouse and SeekOut's world-class filters to monitor and improve your hiring workflow.

This feature is available for users with Professional and Enterprise licenses.

Pipeline Insights combines data from your applicant tracking system (ATS) and SeekOut's world-class filters to monitor and improve your hiring workflow.

Before You Begin

Note Please contact your Customer Success Manager or our support team so we can coordinate your integration setup.

  • Your Greenhouse login and your SeekOut login must both use the same email address when setting up the integration.

  • Your Greenhouse account must have the developer permission "Manage ALL organization’s API Credentials" enabled. See the section in this Greenhouse article Configure User Setup Permissions in Greenhouse Recruiting for steps on how to set this up.

Create your API Key

Login to your Greenhouse dashboard and click the Configuration icon at the top right. Navigate to the Dev Center, then click API Credential Management.

On the next page, click the Create New API Key button. Select Harvest as your API Type, SeekOut as your Partner, and enter a description.

Click Manage Permissions, and your new API Key will be available to you. Click Copy to copy the key to your clipboard.

Click I have stored the API Key to close the window. The Harvest API permissions page will open automatically.

Click Save at the bottom of the page when you're done.

Accessing Integrations

Click your name at the bottom left of the SeekOut dashboard, then select Integrations.

Click your name at the bottom left of the SeekOut dashboard and select Integrations to open the integrations page.

Note: Don't see the Integrations option in your menu? Contact your Customer Success Manager or support@seekout.com and ask to enable ATS integrations for your org.

On the Integrations page, click + Add a Connection to open the list of applicant tracking systems. If you've set up an integration with SeekOut before, your current integrations will be listed on this page. Click the plus sign + at the top of the page to open the ATS list.

If you already have an integration set up, you can add a new integration by clicking the plus sign at the top of the Integrations page.

Connecting to Greenhouse

On the Integrations page, click + Add a Connection. Locate Greenhouse Harvest from the list of integrations and click the Connect button.

Note: If you have set up an integration previously, click the next to the list of integrations at the top of the page to open the Add a Connection pop-up.

On the Capabilities tab, check the box next to Rediscovery. Check Disable Attachments to remove attachments like resumes, cover letters, and other files from your candidates in SeekOut. Click Confirm Choices to continue to the next step.

Review the requirements on the Permissions tab and click I'm ready.

On the Credentials page, enter the following:

  • Harvest Key 

    • Paste your API Key from Greenhouse in the Harvest Key field. 

  • Greenhouse Url 

    • Login to Greenhouse and copy the URL. Include the protocol (https://) and the top-level domain and trailing forward slash (.io/). See the screenshot below for an example.

Click Submit to save your credentials and verify your connection.

Click Submit to save your credentials. SeekOut will automatically attempt to verify your connection. When successful, Greenhouse will appear at the top of your Integrations page with a green check mark.

Removing the Integration

On the Integrations page, click the arrow next to a connected integration to Edit or Remove the integration from your SeekOut account.

Connection Stages 

Downloading... 

The ATS is connected and SeekOut is downloading activity from GreenHouse to SeekOut. This process can take up to several weeks depending on the amount of activity in your ATS. By default, SeekOut will index candidates and their associated activity from the past year. 

Stage Mapping...

SeekOut has finished indexing data from your ATS. You're ready to map your ATS activity to different stage names. See the following section Stage Mapping for info on this step.

Stage Mapping

Once activity has downloaded, go to Pipeline Insights and click Stage Mapping at the top right to map your ATS activity to stages for the Funnel, My Reqs, and My Team views.

Note: Only a SeekOut admin in your organization has access to Stage Mapping. 

The Stage Mapping feature lists each type of activity SeekOut has imported from your ATS. Use the dropdown menus next to each activity to map it to an appropriate stage. If you have an activity in your ATS that doesn't map to your recruiting pipeline, select Ignore. Activities marked as Ignore won't be displayed in Pipeline Insights.

Click Save when you're done mapping your stages. Your changes should be visible in Pipeline Insights right away. If you don't see your changes in the Funnel or in My Reqs after a few seconds, refresh your page.

Adding and Managing Stages

By default, there are 5 predefined stages in the pipeline: Applied, Screen, Interview, Offer, and Hired. To rename or add more stages, click Manage Stages.  

Click + Add Stage to add a new stage. You can have up to twelve stages in your pipeline. Enter a name for your stage, and click and hold the right side of the entry to drag and reorder your stages. Note that Applied will always be set to the first stage and Hired will always be set as the final stage. Click Save once you're done to return to the Stage Mapping screen.
